Why is this not called a quota?
Google uses different terminology so we’re matching their terminology. But it’s functionally a quota.
What are storage limits being set to?
The default storage limit is 200 GB per person. When the storage limits were turned on, anyone over that limit was given a higher limit.
Do I need to delete anything now?
No. Everyone is set to a storage limit that has capacity for more files.
Should I delete anything?
As a general rule, if you really don’t need something then delete it. The total storage is now a finite resource that everyone shares. As new students and faculty and staff join they start using up the space and we may reach a point where we run out of space. We are able to buy more space but cleaning up is free.
Will my storage limit change in the future?
We may at some point decrease the storage limit for individual employees and encourage the use of Departmental Shared Drives. Using Departmental Shared Drives helps with knowledge transfer as employees depart and get hired into roles.
What is included in my storage total?
Gmail, Drive files, and Photos.
How can I tell if I’m approaching my limit?
In Google Drive on the left you can see a “Storage” icon with a visual usage bar. Clicking on that icon will take you to a page where you can see more details including your largest files. Very large files you do not need are good ones to delete.
What happens if I reach my limit?
Gmail will still work. But you will be unable to add files to Drive or Photos.
Who do I talk to if I need more space?
Contact the Help Desk (firstname.lastname@example.org). Our preference will be that people delete files that they no longer need. We will approach other needs on a case by case basis. Faculty and staff may have files that are better stored in departmental Shared Drives. OT can work with you on Shared Drives and moving files.
